Reporting on property keys and key tags

The key module offers detailed reporting on the status of keys in and out of the office, to whom they have been booked out, and a detailed list of the movement of a key set per property.

This article includes: 

Empty key tags report

You're able to view a full list of all empty key tags.

  1. Click Reporting on the main toolbar
  2. Click Keys on the dropdown menu
  3. Key reports is displayed
    1. Select Empty Tag Report
    2. Click Next
    3. Light grey tag numbers are unused key tags. Black tag numbers are already allocated to a property key set
    4. The report will produce for you to view. Click Print to send the report to your printer, if required
    5. Click on the green up and down arrows on the toolbar to move between pages

Keys Booked Out via the Organiser

You're able to view a full list of all keys booked out by a contact or user, from the dashboard or via Key reports.

  1. Click Reporting on the main toolbar
  2. Click Organiser on the dropdown menu
  3. Click Keys Booked Out on the side menu 
  4. A display of the corresponding tag number and Property will appear in the grid. Click on a heading to re-sort the order of the list
  5. Items in red are overdue, yellow are due today and white are future dated. Click in the blue line under the headers, then type text to search. Press Enter to find results from within the list
  6. Double click on an entry and it will open the relevant Property record

Keys Booked Out via Key reports

You're able to view a full list of all keys booked out by a contact or user via Key reports.

  1. Click Reporting on the main toolbar
  2. Click Keys on the dropdown menu
  3. Key reports is displayed
    1. Select Keys Booked Out
    2. Click Next
    3. The report will produce for you to view. Click Print to send the report to your printer, if required
    4. Click on the green up and down arrows on the toolbar to move between pages

Keys Held in the office

The Keys Held report will show you a report of all keys currently held in the office.

  1. Click Reporting on the main toolbar
  2. Click Keys on the dropdown menu
  3. Key reports is displayed
    1. Select Keys Held report
    2. By Address - Orders the report alphabetically
    3. By Master Held - Indicates if it is a master set
    4. By Status - Orders by Property status, alphabetically
    5. Click Next
    6. The report will produce for you to view. Click Print to send the report to your printer, if required
    7. Click on the green up and down arrows on the toolbar to move between pages

Keys Not Held report

The Keys Not Held report will show you which properties do NOT have keys assigned to them and the Property status.

  1. Click Reporting on the main toolbar
  2. Click Keys on the dropdown menu
  3. Key reports is displayed
    1. Select Keys Not Held report
    2. By Address - Orders the report alphabetically
    3. By Status - Orders by Property status, alphabetically
    4. Click Next
    5. The report will produce for you to view. Click Print to send the report to your printer, if required
    6. Click on the green up and down arrows on the toolbar to move between pages

Key Movement report

The Key Movement report shows which users or negotiators have booked keys in and out in a date range

  1. Click Reporting on the main toolbar
  2. Click Keys on the dropdown menu
  3. Key reports is displayed
    1. Select Key Movement report
    2. Select a Start Date and End Date for the period which you want the report to be produced
    3. Property - Select a particular Property if required or leave blank to report on all Properties
    4. The report will produce for you to view. Click Print to send the report to your printer, if required
    5. Click on the green up and down arrows on the toolbar to move between pages

Which key tags are linked to a property

The Keys on Tags report shows all Properties with their corresponding key tag.

  1. Click Reporting on the main toolbar
  2. Click Keys on the dropdown menu
  3. Key reports is displayed
    1. Select Keys on Tags report
    2. By Address - Orders the report alphabetically
    3. By Tag - Orders by consecutive Tag numbers
    4. Click Next
    5. The report will produce for you to view. Click Print to send the report to your printer, if required
    6. Click on the green up and down arrows on the toolbar to move between pages
