How do I book a set of keys in and out?

If you have purchased the key module, you will be able to manage your sets of keys to book them in and out of the office to Staff, Contractors, Tenants, Landlords or any other type set up in your key module default settings.

This article includes: 

Book keys out

  1. Double click Properties from the side menu
  2. Search for the relevant Property using Search Text by Name, Code or Status
    1. Alternatively, find the Property using Additional Options from the dropdown menu
    2. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Click on the Property
  4. Click on the Keys tab
  5. Click Book Out Keys
  6. The Book Out Keys window will display options for you to select
    1. Recipient - Select the correct category, then use the dropdown menu to select the corresponding contact
    2. Reason - Select as required
    3. Add any additional Notes concerning the keys
    4. Keys booked out will default to todays date
    5. Tick Not to be returned if that is appropriate. See the Warning below
    6. Expected back on - Select a date which you expect them to be returned to you
    7. If you have selected Tenant as the category, you will have the option to tick Back on Vacating Date. This means that the Expected back on date will match the Vacating Date of the Tenancy
    8. Click OK

 Warning

If you tick Not To Be Returned, this means that this set of keys will be permanently removed from the Property record, and the Tag number will be available to be used again

Book keys in

  1. Double click Properties from the side menu
  2. Search for the relevant Property using Search Text by Name, Code or Status
    1. Alternatively, find the Property using Additional Options from the dropdown menu
    2. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Click on the Property
  4. Click on the Keys tab
  5. Click Book In Keys
  6. Select the Date Returned on the dropdown menu
  7. Add any Notes if required
  8. Click OK to save
