The key module setup

The key module is an additional feature which enables you to manage keys in your agency by checking them in and out and report on their status.

If you don't currently have the key module and are interested in receiving a quote, please contact Support. Click Submit a request below and complete the contact form.

Once the key module is switched on, there is some setup required in User Defaults. This includes:

  • Adding types of keys
  • Renaming key tags
  • Defining the number of key tags available
  • Adding reasons for booking keys out

Setting up the key book

Before you start using the key module, you need to set up the key book in User Defaults.

 Note

You will need access to User Defaults, to edit your default settings. These can be accessed by those who have the correct permission

  1. Click Defaults on the main toolbar
  2. Click User Defaults on the dropdown menu
  3. Click Keys
    1. Total number of key tags - Add the number of keys you expect to hold, up to a maximum of 5000
    2. Default number of days keys are booked out - Add the most common period of days keys are out
    3. Default reason for borrowing keys - Use the dropdown menu to select the most common reason
    4. Default set of keys to be booked out - Use the dropdown menu to select the default set 
    5. Default contractor for key cutting - Use the dropdown menu to select, or leave as unspecified
  4. In the next list, you're able to add an additional item to the list. Click in the next blank line and add your description
    1. Maintain reasons for borrowing keys - Select or add an additional description. Click Save
    2. Maintain types of keys - Select or add a different type of key i.e. window key, padlock, fob etc
    3. Maintain types of sets of keys - Select or add a different type of set of keys
    4. Name the key tags - Depending on the number of keys added above, the key tags will be listed. They can be edited here if your key numbers are named differently
    5. Click Save
  5. Click Close

Adding key sets on a property

On the Property Information, you will see the Keys tab and a side menu on the right where you can log keys and track their movement.
