How do I upload end of Tenancy information to the TDS?

If you have the TDS Upload module switched on, when ending a Tenancy, there are two options when managing the deposit refund to the TDS, one of which must be selected. The options are:

  • Dispute with TDS upload
  • No Dispute with the TDS upload

Dispute

If there is a Dispute with the Tenancy:

  1. Double click Tenancies from the side menu
  2. Search for the relevant Tenancy using Search Text by Name, Code or Status
    1. Alternatively, find the Tenancy using Additional Options from the dropdown menu
    2. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Select the Tenancy
  4. The Tenancy Details tab will be displayed
    1. Vacating Date - Must be added to the date which the Tenancy vacated
  5. Click on the Deposit Protection tab
  6. Click on the Tenancy Deposit tab
    1. In End of Tenancy, select the End of Tenancy Type from the dropdown menu
    2. Click Dispute
    3. Deposit Protection End Date - Enter the correct date
  7. Click the disk icon, Save this record, on the toolbar

No Dispute

If there is a No Dispute with the Tenancy:

  1. Double click Tenancies from the side menu
  2. Search for the relevant Tenancy using Search Text by Name, Code or Status
    1. Alternatively, find the Tenancy using Additional Options from the dropdown menu
    2. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Select the Tenancy
  4. The Tenancy Details tab will be displayed
    1. Vacating Date - Must be added to the date which the Tenancy vacated
  5. Click on the Deposit Protection tab
  6. Click on the Tenancy Deposit tab
    1. In End of Tenancy, select the End of Tenancy Type from the dropdown menu
    2. Click No Dispute
    3. Deposit Protection End Date - Enter the correct date
    4. Returned to Tenancy - Enter an amount or leave as zero if nothing is being claimed
    5. Returned to Landlord - Enter an amount or leave as zero if nothing is being claimed
    6. Fees to Agent - Enter an amount or leave as zero if nothing is being claimed
    7. Dates - Each of these MUST be filled in, even if it is zero 

Dispute/No Dispute and Vacating

  • If you have the TDS upload, only add the Vacating Date at the time the tenancy vacates. You shouldn't leave it until you return the deposit as it shows false information on the TDS website and can cause issues if a Dispute arises
  • If you want to add a Vacating Date at an earlier point, you should keep the Renewal Date in until the Tenancy actually vacates and not before
  • The Vacating Date ensures that the TDS know when the tenancy actually vacated, and the No Dispute option tells the TDS when the deposit was returned. These dates should always be different as a deposit is normally returned AFTER a Tenancy has vacated and the property has been inspected
