How do I report on Tenancy inspection dates?

The steps below outline how you can create a report showing a list of Tenancy inspections due in a specified date range.

The report can be sent to print, be previewed, exported to excel, or you can send a letter/email to the selected Tenants.

Adding inspection dates

First, you will need to add the inspection date onto the Tenancy Information.

  1. Double click Tenancies from the side menu
  2. Search for the relevant Tenancy using Search Text by Name, Code or Status
    1. Alternatively, find the tenancy using Additional Options from the dropdown menu
    2. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Click on the Tenancy
  4. Click the Dates tab
    1. Enter an Inspection Due date
    2. Enter an Inspection Description

Tenancy inspections can be managed from the Organiser.

Create a report of inspections

  1. Click Reporting on the main toolbar
  2. Click General on the dropdown menu
  3. Click Reminders and All Tenancies
  4. Click Next
    1. In Source, select Tenancies
    2. In Status, select the status types i.e. Private. Those selected are highlighted blue
    3. Click Next
  5. In Select Reminder Type
    1. Select Inspections
    2. In Specify Date Range, enter the dates you want to report on
    3. Click Next
  6. In Report Order
    1. Select the order which you want to produce your report by clicking on the dropdown menu
    2. Click Next
  7. In Tenancies Notification Report
    1. Select the output you want to generate
    2. Preview the report on screen
    3. Print 
    4. Export it to Excel where you can save the report to a location on your computer
    5. Click Finished to generate the report

If you select Letter at step 7, you have the option to send a letter to all tenants in the date range chosen.
