How can I view and manage a list of invoices that haven’t yet been raised?

The steps below show you how to view a list of invoices on the Organiser that are waiting to be updated. You'll also understand the difference between Invoices to Post and Rents to Calculate, which appear as two separate lists:

  • Invoices to Post
  • Invoices for Rents to Calculate

View Invoices on the Organiser

  1. Click Reporting on the main toolbar
  2. Click Organiser on the dropdown menu
    1. Alternatively click the folded page icon on the toolbar
  3. The Organiser will display a side menu with a total number for
    1. Invoices to Post
    2. Invoices for Rents to Calculate 
  4. Click View
    1. The Invoices in the list are waiting to be printed or emailed
    2. Items in red are overdue
    3. Items due to be raised soon show how many days it is until they are due to be raised

Invoices to Post 

These are Invoices held within the Invoices button of a Contact record. They don't have Calc ticked and therefore need to be raised manually, either individually or all at once.

  1. Click Reporting on the main toolbar
  2. Click Organiser on the dropdown menu
    1. Alternatively click the folded page icon on the toolbar
  3. The Organiser will display a side menu with a total number for
    1. Invoices to Post
    2. Invoices for Rents to Calculate 
  4. Click View
  5. Click on the end of a line to highlight it in blue
  6. Double click on the end of the highlighted line to open the corresponding record
  7. Click Invoice
  8. Invoices to Post will be highlighted yellow
  9. Click Preview - To view the Invoice
  10. Send Options - Click the preferred option to send or untick to not send
  11. Click Update
    • An actual invoice will be created for these when updated from the corresponding Information record
    • A copy of the invoice will be saved in the History Log where it can be viewed and emailed
    • Each invoice will be assigned an invoice number

Rents to Calculate 

These are Invoices held within the Invoice button of a Tenancy/Tenant record, which have Calc ticked.

An automated process is carried out to update all your Rents to Calculate ready for you to receipt in monies.

Alternatively, you can post multiple invoices at the same time and tick to include Rents to Calculate.
