How do I change ownership of a Property?

Changing the ownership of a property can only be done if there are no accounts linked to that property. This is to ensure that the existing accounts belonging to a landlord do not get linked to a new landlord.

Changing the ownership

  1. Double click Properties from the side menu
  2. Search for the relevant Property using Search Text by Name, Code or Status
    1. Alternatively, find the Property using Additional Options from the dropdown menu
    2. If searching for an archived record in Only Search Listable Records, select No
    3. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Click the Property
  4. The Property Information will display. Double click <change> located above the Landlord name on the right hand side
    1. Click Yes to confirm before proceeding
    2. A check will then be performed to see if the property is able to be moved to another status
    3. Select the new destination landlord
    4. The property can then be saved to complete the process   
  5. Click the disk icon, Save this record, on the toolbar       

Unable to move the property

If the property cannot be moved, you will see a message detailing the reasons why this process cannot be completed.

  • You can not change ownership because there are entries on the property account
  • Would you like to clone the property and its related records, tenancies, instead and assign to the new landlord
  1. Click Yes to proceed
  2. Select the required Landlord
  3. A confirmation message will appear. Read this message carefully before proceeding, see below
  4. Click Yes
    1. A message will appear, would you like to clone all the tenancy agreement details etc. Click Yes, if you agree, and the property will be cloned and the new propriety code displayed
    2. The current tenancy will be cloned, followed by any future dated tenancies that exist under the original property record
    3. As the process encounters each tenancy that belongs to the property, select whether you want to clone the tenancy details, including the Tenancy Start Date, rent periods and rent amounts
    4. Once completed, a confirmation message will display the clone has been successful
    5. Click OK
      • The new cloned property will display, linked to the new landlord
      • The new cloned tenancy will have a zero Account history, their previous Account history is on their archived record with the previous Landlord
      • The previous Landlord will be set as archived
      • The tenancy of the previous Landlord will be archived
    6. Click the disk icon, Save this record, on the toolbar
    7. A record on the new and previous Landlord and Tenancy will be recorded in their History Log
