Can I recover and relocate redundant files for Anonymised records?

You can recover Anonymised records within the 7 day period of them being Anonymised by either:

  • Recovering Anonymised records in Bulk 
  • Recovering Anonymised records individually

During the 7 day period, each time you log in, you will be notified if there are any Anonymised records in progress.

At any time after the 7 day period, you can Relocate Redundant Files for your Anonymised records. Any physical files, e.g. Invoices, Receipts, Statements and linked documents relating to Anonymised records, will be moved from the main CFPwinMan data path to a folder named Relocated Files.

Recover Anonymised in bulk

You can view and undo the records that have been Anonymised within the last 7 days.

  1. Click Miscellaneous on the main toolbar
  2. Click Anonymisation from the dropdown menu
  3. Click Recover Anonymised Information from the dropdown menu
  4. Recover Anonymised Information displays a list of records which can be recovered. Tick any that you wish to recover
  5. Click Recover 
  6. Click OK to confirm the number of records which will be recovered 

History Log entry will show these records have been restored.

If you select a high number of records to Recover, it can take some time to process.

Recover Anonymised individually

You can view and undo any Landlords, Applicants/Tenants or Contractors Anonymised record individually.

  1. Click the green arrow icon on the top toolbar of their corresponding Information record

Relocate Redundant Files 

Any user that has been given Password Security - GDPR Anonymisation Facility - Relocate Files is able to process the Relocate Redundant Files routine.

  1. Click Miscellaneous on the main toolbar
  2. Click Anonymisation from the dropdown menu
  3. Click Relocate Redundant Files from the dropdown menu
  4. A message indicating how many records will be affected displays. Click OK
    • Any physical files, e.g. Invoices, Receipts, Statements and linked documents relating to Anonymised records, will be moved from the main CFPwinMan data path to a folder named Relocated Files
  5. A message indicating the Relocating Redundant Files displays as the files are being relocated. Click OK to confirm
  6. This can often take some time depending on how many records have been Anonymised and what documents they hold. You will be notified of ongoing progress

Once files have been moved, they can then be easily deleted at your discretion.
