How do I receipt monies from a Landlord?

The steps below show you how to receipt money on to a Landlord which can be used for outstanding Contractor expenses, agency fees, or for any other purpose.

Any money received first needs to have an invoice raised as Miscellaneous for money to be receipted against. If the invoice is reference to a particular Property, you can link an invoice to a Property, and the Miscellaneous invoice will appear on the Landlord Payment.

Any invoices raised as Agency Fees won't appear on the Landlord Payment.

Create a Landlord invoice

  1. Double click Landlords from the side menu
  2. Search for the relevant Landlord using Search Text by Name, Code or Status
    1. Alternatively, find the Landlord using Additional Options from the dropdown menu
    2. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Select the Landlord
  4. Click Invoice
    1. Date - Add todays date
    2. Item - Click Miscellaneous from the dropdown menu
    3. Property - Click the correct Property from the dropdown menu
    4. Description - Type a description i.e. Payment from Landlord
    5. Amount - Enter the amount which you have requested payment from your Landlord
    6. VAT - No VAT will be added as it's a request for payment, not a fee
    7. Per - Single charge
    8. S/O - This will only appear for those agents using the Standing Order module
    9. Send Options - Untick unless you want to send a copy to your Landlord
    10. Update - Invoices can only be updated when the invoice is due, then it is highlighted in yellow.
      If your invoice is not due and you want to update it, you can do the following:
      1. Trans Up To - Change the date to the date of the invoice you want to update. The invoice line will highlight yellow
    11. Click Update
    12. Click Close

Receipt a Landlord Payment

When the Landlord pays, the money is receipted on the Landlord Information.

 Note

The default Payment Type is Cheque when receipting Landlord money. Make sure you change this to the correct payment method before you click Update

  1. Double click Landlords from the side menu
  2. Search for the relevant Landlord using Search Text by Name, Code or Status
    1. Alternatively, find the Landlord using Additional Options from the dropdown menu
    2. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Select the Landlord
  4. Click Receipt
    1. Type - Change to the correct option from the dropdown menu i.e. Internet
    2. Amount Received - Enter the amount paid by your Landlord
    3. Inc - A tick will appear, or click Inc to tick
    4. Send Options - Untick to send, unless you want to send a copy to your Landlord
    5. Click Update
    6. Click Close
