How do I change the default email and SMS messages

There are a number of automatic default email messages already set up in User Defaults. These can be edited ad hoc as the email or SMS is being sent, or, the default message can be changed permanently in the user default settings. 

This process covers how to change email messages for: 

  • Invoices
  • Refunds
  • Receipts
  • Arrears Letters
  • Landlord payments
  • Contractor Payments
  • Works Orders
  • Match Results
  • Match Results Single Property

 Note

You will need access to User Defaults, to edit your default settings. These can be accessed by those who have the correct permissions

  1. Click Defaults on the main toolbar
  2. Click User Defaults on the dropdown menu
  3. Click Preferences
  4. Click the Stationery tab
  5. Click Default Email/SMS Message Text 
  6. Click any tab to see the different email and SMS messages. Use the black arrows to see more tabs
    1. Email and SMS message templates:
      1. Contractor Payments
      2. Landlord Payment
      3. Match Results
      4. Match Results single property
      5. Works Order
    2. Email message templates only:
      1. Arrears Letter
      2. Invoice
      3. Receipt
      4. Refund
      5. Reports
    3. Email Subject Line, Email Message Body, SMS, SMS Message Body 
      1. Click and drag merge codes from the right side menu in to the area where you want it to appear
      2. Edit the text to amend your default message 
      3. Delete a merge code from the text area by pressing the backspace key on your keyboard
      4. Click Close
  7. Click Close again
  8. Click Close to exit
