How do I transfer deposits in to the custodial scheme?

If your Tenancy deposits are transferred to either the DPS, TDS custodial or Safe Deposits Scotland, there is a custodial scheme routine in your CFPwinMan software which replicates the transfer of deposit monies in and out of the scheme. You can also view and manage the list of custodial transfers due.

You can:

  • Record money being sent In to the custodial scheme
  • Record money being received back Out of the custodial scheme to
    • The agency for deductions being claimed
    • The Tenant directly

Select the correct scheme in the Tenancy Information

Either the DPS, TDS custodial or Safe Deposits Scotland must be selected on the Tenancy Information for the Custodial Transfer routine to work and for the corresponding deposits to appear on your Organiser.

  1. Double click Tenancies from the side menu
  2. Search for the relevant Tenancy using Search Text by Name, Code or Status
    1. Alternatively, find the tenancy using Additional Options from the dropdown menu
    2. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Select the Tenancy
  4. The Tenancy Details tab will display. Select either The DPS, TDS custodial or Safe Deposits Scotland from the dropdown menu
  5. Once the deposit is registered, you can complete the Registration No.
  6. Click the disk icon, Save this record, on the toolbar

Record the transfer of deposit

On either the Tenancy or Tenant Information, add the Initial Invoice, and receipt in deposit monies received from your tenant.

A reminder to transfer the deposit money to either the DPS, TDS custodial or Safe Deposits Scotland will appear in the Custodial Transfer Due, on your Organiser with the tenants name.

Once you have registered and sent the deposit money, follow the steps below to record it in your CFPwinMan software.

  1. Click Reporting
  2. Click on Organiser from the dropdown menu
    1. Alternatively click on the folded page icon on the toolbar
  3. The Main tab will display with a list of headers. Alongside Custodial Transfer Due is the number of items to be transferred
  4. Click View to display the list of items
  5. Highlight the line of the record, then double click to open
    1. Tick Required next to the record you want to transfer
    2. Transfer In - Leave this selected as you are transferring the deposit into the deposit scheme
    3. Date of transfer - Edit the date to the same as which you transferred the deposit money to the deposit scheme in your bank
    4. Reference - Add the number given to you when registering with the deposit scheme online
    5. Click Update
    6. Click Yes or No to print a copy

In the Tenancy Information, Deposits, a record of the transfer will be recorded.

View your transferred deposits

All deposits transferred in, using the steps above, will be recorded in Custodial Deposit Scheme on Information on your main toolbar.

  1. Click Custodial Deposit Scheme from the side menu
    1. Alternatively, click Information on the main toolbar
    2. Select Custodial Deposit Scheme from the dropdown menu
  2. Click Account to show all deposits currently registered with either the DPS, TDS custodial or Safe Deposits Scotland

End of Tenancy transfer deposit

At the end of the Tenancy, the deposit is transferred directly out to the Tenant from the Custodial Deposit Scheme. Any claimed deposit will be sent to your agency, both these steps are manged in the Custodial Deposit Scheme record.
