How do I invoice Landlord fees without them showing on the Landlord Statement?

If you want to add an invoice for Landlord agency fees without them appearing on their Landlord Statement, you can add an invoice on their Landlord Information record. When payment is received, it's entered on the Landlord Information, Receipt.

In this scenario, the Landlord won't see the transaction on their Landlord Statement and the invoice isn't deducted from their rental income, it will appear on your arrears until payment is received.

  1. Double click Landlords from the side menu
  2. Search for the relevant Landlord using Search Text by Name, Code or Status
    1. Alternatively, find the Landlord using Additional Options from the dropdown menu
    2. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Select the Landlord
  4. Click Invoice
    1. Date - The date which the invoice is due, usually todays date
    2. Item - Click and select Agency Fees from the dropdown menu
    3. Property - Click and select the correct Property from the dropdown menu
    4. Description - Type the description that you want to appear on the invoice
    5. Amount - Enter the amount
    6. VAT - If you're VAT registered, the VAT will be added to the Amount
    7. Per - Single charge
    8. S/O - This will only appear for those agents using the Standing Order Module
    9. Click Preview to view a copy of the invoice
    10. Send Options - Tick to send a copy of the raised invoice to your Landlord
    11. Update - Invoices can only be updated when the invoice is due, then it's highlighted in yellow.
      If your invoice is not due and you want to update it, you can do the following:
      1. Trans Up To - Change the date to the date of the invoice you want to update
      2. The invoice line will highlight yellow
    12. Click Update
    13. Click Close

When the Landlord pays, you can then receipt the money in Landlord Information, Receipt.

After money is receipted, it will be available to transfer as part of your Agency Fees and not appear on the Landlord Statement.
