How do I remove a Head Tenant from a Joint Tenancy?

If you have created a Joint Tenancy with a Head Tenant and want to remove the current Head Tenant, replacing them with another Tenant in that Tenancy, the steps below will show you how to do this without vacating the entire Tenancy.

You can vacate individual Tenants from a Tenancy record, but to ensure you have a full audit trail, they will always show as having been in the Tenancy.

If you have added the wrong Tenant to a Tenancy at the time of creating the Tenancy, you may choose to end that tenancy instead, and create a new one from scratch which only shows the correct Tenants

Remove the existing Head Tenant

  1. Double click Tenancies on the side menu
  2. Search for the relevant Tenancy using Search Text by Name, Code or Status
    1. Alternatively, find the Tenancy using Additional Options from the dropdown menu
    2. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Select the Tenancy which you want to make changes to
  4. Click on the Head Tenant name
  5. Their Tenant Information record will appear
    1. In Status, change it from Joint to Private from the dropdown menu
    2. Click the disk icon, Save this record, on the toolbar
    3. Click Yes to change the Applicants status and to remove the tick from Head Tenant
  6. Click on the arrow icons on the toolbar to move two records to the left and back again. This works as a refresh
  7. On the original Head Tenant Information record, click Associated Tenancy on the right side to return to the Tenancy Information record

Allocate the new Head Tenant

  1. After returning to the Tenancy Information record at step 7 above, click on the Tenant name whom you want to allocate Head Tenant Status
  2. Their Tenant Information record will appear
    1. In Status, change it from Joint to Private from the dropdown menu
    2. Click the disk icon, Save this record, on the toolbar
    3. Click Yes to change the Applicants status
  3. Click on the arrow icons on the toolbar to move two records to the left and back again. This works as a refresh
  4. Return to the new Head Tenant Information record
    1. In Status, change it from Private back to Joint from the dropdown menu
    2. The Head Tenant box will automatically tick. If it doesn't, tick it manually
    3. Click the disk icon, Save this record, on the toolbar
    4. Click Yes to change the Applicants status
  5. Click on Associated Tenancy on the right, to return to the Tenancy Information record

Allocate existing Tenants to the new Head Tenant

  1. After returning to the Tenancy Information record at step 5 above, click on one of the remaining Tenant names
  2. Their Tenant Information record will appear
    1. In Status, change it from Joint to Private from the dropdown menu
    2. Click the disk icon, Save this record, on the toolbar
    3. Click Yes to change the Applicants status
  3. Click on the arrow icons on the toolbar to move two records to the left and back again. This works as a refresh
  4. Return to the their Tenant Information record
    1. In Status, change it from Private back to Joint from the dropdown menu
    2. Click OK at the message - Please locate the Head Tenant for this Joint Tenancy
    3. Click Locate
    4. Search for the new Head Tenant using Search Text by Name
    5. Click the disk icon, Save this record, on the toolbar
  5. Click on Associated Tenancy on the right, to return to the Tenancy Information record
  6. Repeat these steps until all Tenants in this Tenancy have been allocated to the new Head Tenant

Vacate the original Head Tenant

  1. After returning to the Tenancy Information record at step 6 above, click on the original Head Tenant whom you want to remove
  2. Their Tenant Information record will appear
    1. In Status, change it from Joint to Vacated from the dropdown menu
    2. Edit the Tenants name to include - Vacated
    3. Click the disk icon, Save this record, on the toolbar
    4. Click Yes to change the Applicants status
  3. Click on Associated Tenancy on the right, to return to the Tenancy Information record
  4. On the Tenancy Information Record
    1. Edit the Name, Salutation and contact details
    2. Edit the Tenants names in the Build Name field
  5. Click the disk icon, Save this record, on the toolbar
