How do I edit headers and set reminders of a notes box?

On every Landlord, Tenant, Applicant and Tenancy Information record, there are four Notes boxes. On the Property Information, there are three Notes boxes.

  • The headers for these Notes boxes can be edited to suit the contents you want to add in each box
  • You can add a warning message to appear when paying Landlords, as a reminder of any special request for payment
  • You can set a Note to appear when creating a tenancy to remind you of any special instructions by your Landlord

You will need access to User Defaults, to edit your default settings. These can be accessed by those who have the correct permissions

Change headers of Notes boxes

  1. Click Defaults on the main toolbar
  2. Click User Defaults from the dropdown menu
  3. The Standard tab will be selected. Click Notes
    1. Edit the Headings by typing into the corresponding Notes heading box
    2. Click Close
  4. Click Close

Payment reminder Notes boxes

The Landlord Information Notes box appears with a header Payment Notes, every time you click Payment. If anything is written in the Payment Notes box, a yellow sticky note appears on screen with the contents of the note.

  1. Click Defaults on the main toolbar
  2. Click User Defaults from the dropdown menu
  3. The Standard tab will be selected. Click Notes
    1. Landlord Notes 1 - Overtype any text in this field to Payment Notes
    2. Click Close
  4. Click Preferences
  5. In the third column, Default Notes, type Landlord Payments
  6. Select the note name which you entered at step 3.1, i.e. Payment Notes
  7. Click Close
  8. Click Close

Special instruction Notes boxes

You can set up a special instruction reminder note on the Landlord Information, so each time you create a tenancy for the corresponding landlord, a yellow sticky note appears with the contents of the note.

If your landlord owns multiple properties, start the note with the part of the address, to which the note is related.

  1. Click Defaults on the main toolbar
  2. Click User Defaults from the dropdown menu
  3. The Standard tab will be selected. Click Notes
    1. Choose either Landlord Notes 3 or 4 to overtype any text in the field with Special Instructions
    2. Show Landlord Notes When Creating a New Tenancy - Tick the box next to Special Instructions
    3. Click Close
  4. Click Close
