How can I record consent preferences for GDPR?

The steps below show you how to record an Applicant/Tenant, Landlord, Contractor or Guarantors consent preference for the purposes of GDPR.

On each Applicant/Tenant, Landlord, Contractor, Guarantor and Tenancy Information record there is a designated tab to the Preference Centre.

When you add a new contact record, they will always default to consent denied, identified by a red thumbs down icon. This can be changed in the Preferences Centre tab.

Existing contact records, prior to GDPR being introduced, will have unknown consent (grey thumbs down icon) until changes to the individuals consent preferences are made.

Add consent preferences to an Applicant or Tenant

  1. Double click Applicants from the side menu
  2. Search for the relevant Applicant/Tenant using Search Text by Name, Code or Status
    1. Alternatively, find the Applicant/Tenant using Additional Options from the dropdown menu
    2. If searching for an archived record in Only Search Listable Records, select No
    3. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Click to select the Applicant or Tenant
  4. Click the Preference Centre tab 
  5. Select their preferred Delivery Type. If selecting Email, untick Print
  6. Click the green thumbs up icon to record that consent has been given
  7. Click the red thumbs down icon to record that consent has been denied
  8. The Preference Centre table will be updated with the user name and date it was changed
  9. A record of the updated entry will be recorded in the History Log, identifying the user and the date the contacts Preference Centre was changed

View a Tenants consent from the Tenancy

  1. Double click Tenancy from the side menu
  2. Search for the relevant Tenancy using Search Text by Name, Code or Status
    1. Alternatively, find the tenancy using Additional Options from the dropdown menu
    2. If searching for an archived record in Only Search Listable Records, select No
    3. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Click to select the Tenancy
  4. Click the Preference Centre tab 
  5. If the individual tenants were added as joint tenants at the applicant stage, they will be listed individually in the left column

  6. Click on each Tenants name to view and update their Consent Preferences
  7. Click the green thumbs up icon to record that consent has been given
  8. Click the red thumbs down icon to record that consent has been denied
  9. Click OK when prompted if you want to save the changes
  10. The Preference Centre table will be updated with the user name and date it was changed
  11. A record of the updated entry will be recorded in the History Log, identifying the user and the date the contacts Preference Centre was changed

  1. Double click Landlord from the side menu
  2. Search for the relevant Landlord using Search Text by Name, Code or Status
    1. Alternatively, find the Landlord using Additional Options from the dropdown menu
    2. If searching for an archived record in Only Search Listable Records, select No
    3. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Click to select the Landlord
  4. Click the Preference Centre tab 
  5. Select their preferred Delivery Type. If selecting Email, untick Print
  6. Click the green thumbs up icon to record that consent has been given
  7. Click the red thumbs down icon to record that consent has been denied
  8. The Preference Centre table will be updated with the user name and date it was changed
  9. A record of the updated entry will be recorded in the History Log, identifying the user and the date the contacts Preference Centre was changed

  1. Double click Contractor from the side menu
  2. Search for the relevant Contractor using Search Text by Name, Code or Status
    1. Alternatively, find the Contractor using Additional Options from the dropdown menu
    2. If searching for an archived record in Only Search Listable Records, select No
    3. Or select a Branch if multi branch is set up on your CFPwinMan
  3. Click to select the Contractor
  4. Click the Preference Centre tab 
  5. Select their preferred Delivery Type. If selecting Email, untick Print
  6. Click the green thumbs up icon to record that consent has been given
  7. Click the red thumbs down icon to record that consent has been denied
  8. The Preference Centre table will be updated with the user name and date it was changed
  9. A record of the updated entry will be recorded in the History Log, identifying the user and the date the contacts Preference Centre was changed
